Privacy Policy

This Privacy Policy explains how LegalFenix ("LegalFenix", "we", "us") collects, uses, stores, and protects information when you connect your QuickBooks Online account to our financial reporting service. We built this service to pull your accounting reports automatically so we can prepare your marketing spend reporting. We ask for the minimum access needed and never request more than that.
1. Information we access from QuickBooks
When you authorize the connection through Intuit, we request a single, read-only
accounting scope (com.intuit.quickbooks.accounting). Using it, we retrieve:
- Profit and Loss reports (summary and line-item detail), including expense categories, vendor names that appear on those reports, amounts, and dates.
- Your QuickBooks company identifier (realm ID), used to associate the connection with your firm.
We do not request or access payroll data, employee or personnel records, Social Security numbers, bank login credentials, or payment-processing scopes. We never request the ability to create, edit, or delete anything in your QuickBooks account.
2. How we use the information
We use the data solely to generate and maintain financial and marketing-spend reporting for your firm. We do not use it for advertising, profiling, or any unrelated purpose.
3. How we store and protect it
- Report data and access tokens are stored on a private, access-controlled server and database operated for LegalFenix.
- The connection uses Intuit's OAuth 2.0. We never see or store your QuickBooks password.
- Access tokens are held only to retrieve your reports on the agreed schedule, and are refreshed securely. Administrative access is limited to authorized personnel.
4. How we share it
We do not sell, rent, or trade your information. We do not share it with third parties except service providers that host the infrastructure used to operate this service, who are bound to protect it, and except where required by law. Your QuickBooks data is used only to serve you.
5. Data retention
We retain report data for as long as your firm uses the service or as needed for the reporting you've requested. You may ask us to delete your stored data at any time (see Contact). When you disconnect, we stop retrieving new data and will delete stored data on request.
6. Your choices and control
- You can revoke our access at any time from your QuickBooks settings (Apps → Manage connected apps), which immediately stops all future access.
- You can request a copy or deletion of the data we hold about your firm by contacting us.
7. Intuit and QuickBooks
QuickBooks and Intuit are trademarks of Intuit Inc. Our use of QuickBooks data complies with Intuit's developer requirements. Authorization and revocation are handled through Intuit's own systems.
8. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by an updated effective date on this page.
